Customers and their profiles

Everyone who has bought from you or made an account, with what they have spent, their addresses, your notes and whether they want marketing.

Customers lists everyone who has an account on your storefront or has checked out as a guest, with the count above it. Somebody you sold to at the counter without taking their details is not here: that sale is a walk-in and lives on the order.

The columns are the customer, their status, their phone, how many orders they have placed, what they have spent with you, and when they joined. Spent and Orders count paid orders, the same way your reports do, so the number here and the number there always agree.

Finding someone

  • Search customers matches a name or an email address.
  • Filters narrows by Status and by Group.
  • The sort control offers newest, oldest, and name either way.

Adding one yourself

Add Customer takes a name, an email, a phone number, any addresses and a note, and can put them straight into a group. Everything is saved in one go, so there is no half-created customer if something is wrong.

Choose a row to open it. Across the top: how many orders they have placed, what they have spent, their average order and when they last bought.

  • Contact information is their email, phone and the day they became a customer. Edit opens the same page in editing mode.
  • Recent orders lists what they have bought, newest first, and each one opens the order.
  • Addresses are theirs to deliver to. One is the default, which checkout offers first; making another the default moves it, and deleting the default promotes the next one.
  • Status is Active, Inactive or Blocked. Blocked customers cannot place orders.
  • Marketing says whether they have agreed to marketing email. It follows what they actually did: subscribing on your storefront turns it on, unsubscribing turns it off.
  • Groups shows the manual groups they are in, and Add puts them in one. See Customer groups.

Notes

Two kinds, deliberately:

  • Profile note is one standing fact you want to see every time you open them: "prefers delivery after 5pm".
  • Activity notes are a running record for your team. Every entry keeps its author and the time, only its author can edit it, and an owner or admin can delete any of them.

If it does not work

  • You cannot delete a customer: if they have orders, they cannot be deleted, because their orders would lose their buyer. Block them instead, which stops them ordering and keeps the history.
  • A deleted customer is still on old orders: that is deliberate. An order keeps who bought it.
  • Somebody is missing: a walk-in sale records no customer, and a guest is only here if they gave an email at checkout. Try searching by email rather than by name.
  • Their spend looks low: only paid orders count. Unpaid and cancelled orders are not spend.
